- Provide administrative support for architectural project teams.  - Edit and/or create written correspondence, adhering to Flad standards. Process interoffice memos, letters, transmittals, labels, contracts, forms, Basis of Design and Concept Reports, etc. from verbal communication, email, handwritten notes, dictation, or transcription. - Execute and/or coordinate report production, including information gathering, processing, reproduction of materials, proofing of assembly, and distribution. - Create and maintain project forms, including spreadsheets and flowcharts. Customize forms for specific project needs. - Assist with project start-up procedures (team directories, product cut books, project goals statements, team responsibility matrix, master file set-up, etc.) - Coordinate internal/external meetings, including agenda and presentation support, organizing attendees, ordering food, arranging space, setting up equipment, and cleaning up. - Work with project teams to provide BIM support including project model set up, file export, and troubleshooting. - Collaborate with project team leadership to develop the project-specific BIM implementation plan. - Develop and maintain BIM content to ensure a healthy model with smooth operation. - Understand firm-wide BIM standards and guidelines. Ensure models follow all internal and client specific standards. - Perform periodic QA/QC audits of project files to ensure compliance with the agreed upon strategy, standards and work processes. - Introduce new employees to BIM standards and educate staff through ongoing training sessions. - Participate in the BIM Committee for the purpose of knowledge sharing, best practices and lessons learned. - Identify ways to help staff to become more efficient on projects through customization, scripting, and other automation.

As Flad expands its computational design practice, we are hiring additional Computational Design Specialists that are integral in the leveraging and integration of our BIM and data analytics for our clients. This position will collaborate with all Flad’s offices, provide support to project teams, and develop novel approaches for computational design applications.   These computational design team members will be located on the West Coast in San Francisco, CA or Seattle, WA and in either Madison, WI or New York, NY.   Responsibilities: Approximately 50% of the time will be spent helping projects with computational & generative design work.  This includes: - Help develop geometrically complex designs such as façade systems, interior features and installations, and overall building massing with inputs such as daylighting, maximation of views, or traffic patterns. - Develop custom design tools based on specific projects to re-use in future projects. - Leverage computational design to quantify cost impacts of design changes for developer led projects. - Simplify or automate repetitive tasks where possible using generative design tools such as BOMA calculations, room sheet data, equipment schedules, and program SF verification. - Leverage Flad benchmarking data for massing and programming of spaces. Collaborate with lab or healthcare planners to develop design tools for planning purposes. Approximately 40% of the time will be supporting and teaching other employees.  This includes: - Work with the BIM team to develop and maintain Dynamo and Grasshopper packages for firm-wide use. - Test and validate new generative design applications and plug-ins for compliance with Flad’s application ecosystem. - Collaborate with teams to implement computational design processes and thinking on project work. - Teach project team members Grasshopper and Dynamo as well as how to create custom components with coding in Python or other languages. Approximately 10% of the time will be spent on research and development, including: - Research and development time to develop novel approaches, discover new tools, and leverage existing data.

- Coordinate, prepare (from e-mails, cloud, and FTP sites) and issue: Construction Bulletins, Supplemental Instructions, Proposal Requests, Jobsite Observation Reports, Transmittals, Punchlists, etc. - Check CA e-mail account on a rotating basis throughout the day and handle incoming work requests, RFIs, etc. - Issue submittals and RFIs as needed per project. Update appropriate construction websites, e.g., Bluebeam, Procore, Prolog, Docunet, Teamsight, ProjectTeam, Unifier, BIM 360 and other various sites with RFIs, Submittals, etc. - Receive, log and route RFIs and submittals to internal/external team members for review/approval. - Return (via e-mail and website), log and file answered RFIs and submittals returned to contractors. - Check-in, distribute for review, and check-out (return via email, website, or hard copy with physical samples) all submittals received on projects in the construction phase. - Process Change Orders and Payment Applications and log any financial information received. - Edit and/or create written correspondence, adhering to Flad standards. Process interoffice memos, letters, transmittals, labels, contracts, forms, etc. from verbal communication, email, handwritten notes, dictation, or transcription. - Plan and/or coordinate with project staff any drawings needing to be scanned or copied for associated submittals, CBs, etc. - Set up and maintain electronic filing systems as needed. As needed, regularly archive construction project files.
